Terms of Use

These terms apply to the OddFox Rankings website and related services — athlete profiles, results and rankings, accounts, coach and club access, coaching notes, event photographs and photo tagging, premium memberships and trading-card artwork. Separate event waivers, registration conditions, competition rules and refund terms may apply when entering an OddFox event through Smoothcomp or another registration platform.
1. About OddFox Rankings
OddFox Rankings is operated by:
In these terms, "OddFox Events", "OddFox Rankings", "we", "us" and "our" refer to OddFox Events.
These Terms of Use apply to the OddFox Rankings website and related services, including:
- Athlete profiles.
- Competition results and rankings.
- User accounts.
- Coach and club access.
- Private coaching notes.
- Event photographs and photo tagging.
- Premium memberships.
- Trading-card artwork.
- Other features made available through OddFox Rankings.
Separate event waivers, registration conditions, competition rules and refund terms may apply when entering an OddFox event through Smoothcomp or another registration platform.
2. Accepting these terms
By creating an account, claiming or managing an athlete profile, applying for coach access, purchasing a subscription or using a restricted OddFox Rankings feature, you agree to these terms.
You should read these terms before using the service.
Where you use OddFox Rankings on behalf of a child, athlete, club or another person, you confirm that you have appropriate authority to do so.
If you do not agree to these terms, you must not create an account or use restricted OddFox Rankings features. Public results and rankings may still be displayed as part of the historical sporting record even where an athlete has not created an account.
Nothing in these terms affects any consumer, data-protection or other legal rights that cannot lawfully be excluded or restricted.
3. Eligibility and children
OddFox Rankings includes profiles and results relating to children and adult athletes.
A child may have their own rights over their account and personal information, depending on their age and understanding.
Where a parent or guardian manages a child's profile, they must:
- Have appropriate parental or guardian authority.
- Act in the child's best interests.
- Use the child's information responsibly.
- Avoid unnecessary sharing of the child's information.
- Keep the account secure.
- Take the child's views into account where appropriate.
- Stop managing the account when they no longer have authority to do so.
We may ask for reasonable evidence of identity, age, parental responsibility or authority before allowing someone to claim or manage a profile.
We may restrict or remove access where authority cannot be verified or where continued access could create a privacy, security or safeguarding risk.
4. Accounts
Some OddFox Rankings features require an account.
When creating or using an account, you must:
- Provide accurate information.
- Keep your account details current.
- Use an email address that you are authorised to use.
- Create a secure password.
- Keep your login details confidential.
- Take reasonable steps to prevent unauthorised access.
- Notify us promptly if you believe that your account has been compromised.
- Use only profiles and features that you are authorised to access.
You must not:
- Share your password with an unauthorised person.
- Access another person's account without permission.
- Impersonate an athlete, parent, coach, club or administrator.
- Create a misleading or fraudulent account.
- Attempt to bypass account restrictions.
- Attempt to bypass payment controls.
- Use another person's personal information unlawfully.
- Interfere with the security or operation of the service.
You are responsible for activity carried out through your account unless that activity results from a security failure for which OddFox Events is legally responsible.
5. Claiming and managing athlete profiles
Athlete profiles may be created from legitimate competition and results information before the athlete creates an OddFox Rankings account. A profile may include:
- Athlete name.
- Club affiliation.
- Competition category.
- Grade or belt.
- Competition results.
- Medals and placings.
- Ranking points.
- Ranking position.
- Event photographs where appropriately linked.
Claiming a profile provides access to available account and profile-management features. It does not give the account holder ownership of the underlying competition results or historical sporting record.
You may only claim or manage:
- Your own athlete profile.
- A child's profile where you have appropriate parental or guardian authority.
- Another athlete's profile where you have their permission and appropriate authority.
You must not knowingly claim the wrong profile. We may request evidence confirming that you are entitled to manage the profile. We may:
- Refuse a profile claim.
- Delay approval while authority is checked.
- Transfer profile management to the correct person.
- Remove an unauthorised account from a profile.
- Merge duplicate profiles.
- Separate profiles that have been incorrectly merged.
- Correct obvious profile errors.
6. Public results and historical records
Competition results may be published whether or not an athlete has created an OddFox Rankings account. Public information may include:
- Athlete name.
- Club or academy.
- Competition category.
- Grade or belt.
- Weight category.
- Discipline.
- Brackets and opponents.
- Match results.
- Scores and points.
- Medals and placings.
- Ranking points.
- Ranking position.
Results may be obtained from Smoothcomp, event organisers, officials or other legitimate competition sources. Competition records may remain available as part of the historical sporting record.
Deleting an account does not automatically remove historical results because those results may also form part of:
- Event records.
- Bracket records.
- Opponents' records.
- Medal tables.
- Ranking calculations.
- Club statistics.
- The wider historical sporting record.
Requests to correct, restrict or remove information will be considered individually, particularly where there is a safeguarding concern or the information relates to a child.
7. Rankings
OddFox Rankings calculates rankings using the competition results and ranking rules adopted by OddFox Events. Ranking calculations may take account of matters such as:
- Competition results.
- Match outcomes.
- Medals and placings.
- Event classification.
- Division size.
- Ranking periods.
- Applicable scoring rules.
The current ranking methodology may be displayed or explained separately on OddFox Rankings.
We aim to keep rankings accurate, but we cannot guarantee that:
- Imported competition data will always be complete.
- Information supplied by event organisers will always be correct.
- Every athlete will be matched to the correct existing profile automatically.
- Technical or calculation errors will never occur.
- Results will be imported immediately.
- A ranking will never require correction.
We may correct:
- Incorrect results.
- Duplicate profiles.
- Incorrect club affiliations.
- Incorrect categories.
- Ranking calculation errors.
- Data-import errors.
- Results subsequently amended by the event organiser.
Correcting one athlete's result may affect other athletes' rankings.
Rankings are informational and do not guarantee:
- Selection for a team or squad.
- Competition entry.
- Eligibility.
- Seeding.
- Funding.
- Sponsorship.
- Awards.
- Recognition by a governing body.
- Any financial or professional benefit.
Those decisions remain subject to the rules and discretion of the relevant organiser, governing body, coach or other organisation.
8. Reporting errors
Users should report suspected profile, result or ranking errors through the Help & Contact page or by emailing admin@oddfoxevents.co.uk.
A report should include, where possible:
- The athlete's name.
- The relevant event.
- The date of the event.
- The result believed to be incorrect.
- The requested correction.
- Supporting evidence, such as the official Smoothcomp result.
We may contact the event organiser or another relevant source before making a correction. We may refuse a correction where the available evidence does not support it.
A disagreement with a referee's decision or official event result must normally be handled through the relevant event protest or appeal process. OddFox Rankings is not an alternative appeal process for competition decisions.
9. Coach and club access
Coach and club features are available only to appropriately authorised users. Coach access may allow a user to:
- View athletes connected with a club.
- Access permitted performance information.
- Add or view coaching notes.
- Use club-management tools.
- Access other features made available to coaches.
Coach or club administrators must:
- Access only athletes they are authorised to support.
- Use athlete information only for legitimate coaching and club purposes.
- Keep private information confidential.
- Protect their accounts against unauthorised access.
- Keep access permissions current.
- Notify us when access should be changed or removed.
- Stop accessing an athlete's information when their authority ends.
Coach access does not give a coach ownership of an athlete's account, profile or personal information.
Clubs should inform OddFox Events promptly when:
- A coach leaves the club.
- A coach's responsibilities change.
- Access is no longer authorised.
- A coach account may have been compromised.
We may refuse, suspend or remove coach or club access where:
- Authority cannot be verified.
- Access has been misused.
- The relevant club requests removal.
- The coach is no longer connected with the club.
- A safeguarding concern arises.
- Continued access creates a security or privacy risk.
- These terms have been breached.
10. Coaching notes
Authorised coaches may add private notes concerning an athlete's matches or performance. Coaching notes are intended to be visible only to:
- The relevant athlete.
- Appropriately authorised coaches connected with the athlete's club.
- OddFox administrators where access is reasonably required for support, security, safeguarding or legal purposes.
Coaching notes must be:
- Relevant to legitimate coaching activity.
- Appropriate and respectful.
- Accurate to the best of the coach's knowledge.
- Limited to information reasonably needed for coaching.
Users must not add coaching notes that are:
- Abusive.
- Threatening.
- Discriminatory.
- Knowingly false.
- Unnecessarily intrusive.
- Defamatory.
- Unlawful.
- Unrelated to coaching.
- Intended to embarrass or harass an athlete.
Coaches should avoid recording unnecessary medical, injury or other sensitive information. Where relevant medical information genuinely needs to be recorded, the coach and club are responsible for ensuring that they have an appropriate lawful reason and that the information is handled securely.
We may remove inappropriate notes or restrict access where reasonably necessary.
11. Event photographs
OddFox Rankings may display event photographs supplied by:
- OddFox Events.
- Event photographers.
- Event organisers.
- Athletes.
- Coaches.
- Other authorised sources.
Photographs may be connected to:
- An event.
- A match.
- A medal presentation.
- An athlete profile.
- A club.
- A trading-card order.
Photographs must not be used to:
- Harass or threaten another person.
- Humiliate or deliberately embarrass an athlete.
- Create a safeguarding risk.
- Misrepresent an event or athlete.
- Infringe copyright.
- Breach another person's privacy unlawfully.
Anyone with a privacy, accuracy or safeguarding concern about a photograph may request a review. We will consider reasonable removal or restriction requests. It may not always be possible to remove photographs or recordings independently published by another organisation or already lawfully distributed elsewhere.
12. Face location and manual photo tagging
OddFox Rankings may use automated software to locate areas of event photographs that appear to contain a face. The software may draw a box or selectable area around a detected face to make manual tagging quicker and easier.
The software does not:
- Compare the detected face with an athlete's profile photograph.
- Identify or attempt to identify the person.
- Recommend an athlete's name.
- Generate an identity score.
- Generate a facial-similarity score.
- Group photographs containing the same person.
- Search for the same person across photographs.
- Track individuals across photographs.
- Create facial-recognition templates.
- Automatically tag an athlete.
An athlete or authorised administrator must manually decide who appears in the photograph and confirm the tag.
Users must not:
- Knowingly tag the wrong athlete.
- Add a tag for an abusive or misleading purpose.
- Impersonate another athlete while confirming a tag.
- Use tagging to harass, embarrass or endanger another person.
Incorrect or inappropriate tags may be reported to OddFox Events for review and correction.
13. User uploads
Users may be able to upload:
- Profile photographs.
- Trading-card photographs.
- Club logos.
- Written information.
- Other permitted content.
You must have the necessary rights, permission or authority to upload the content. You must not upload content that:
- Infringes copyright or another intellectual-property right.
- Breaches another person's privacy.
- Is unlawful.
- Is threatening or abusive.
- Is discriminatory.
- Is obscene or seriously offensive.
- Contains malicious software.
- Misrepresents another person.
- Creates a safeguarding risk.
- You are not authorised to provide.
You retain ownership of content that you own. By uploading content, you give OddFox Events a non-exclusive permission to:
- Store it.
- Copy it for backup purposes.
- Resize, crop or format it.
- Process it.
- Display it within the service.
- Include it in a requested product.
- Use it as reasonably necessary to provide the requested feature or service.
This permission lasts for as long as reasonably necessary to provide the service and manage legitimate records, subject to our Privacy Policy and applicable law.
You may request removal of uploaded content, although removal may not always affect:
- Products already produced.
- Material already lawfully published.
- Protected backups awaiting deletion through the normal backup cycle.
- Information that we have a lawful reason to retain.
14. Premium memberships
OddFox Rankings may offer paid premium memberships. The price, billing period and included features will be displayed before purchase. Premium features may include services such as:
- Additional athlete-profile features.
- Enhanced statistics.
- Photograph features.
- Trading-card artwork.
- Other features described at the point of purchase.
The exact features included may change over time. Where a material paid feature is changed or withdrawn, we will consider:
- The reason for the change.
- The remaining subscription period.
- Any suitable replacement feature.
- Any applicable consumer right to cancel or receive a refund.
Premium membership is personal to the relevant account and must not be shared unless we expressly permit it.
15. Coach subscriptions
Paid coach access may be offered separately from athlete premium membership. The price, billing interval and included coach features will be displayed before purchase.
Purchasing coach access does not automatically prove that the user is authorised by a club. Coach access may remain subject to:
- Identity checks.
- Club verification.
- Approval by OddFox Events.
- Compliance with these terms.
- Continued authority from the relevant club.
Where coach authority ends, access may be removed even if a paid subscription period remains. We will consider any applicable refund rights according to the reason access ended and the circumstances involved.
16. Subscription renewals and cancellation
Where a subscription renews automatically, the following information will be shown before purchase:
- The price.
- The billing interval.
- Whether it renews automatically.
- How to cancel.
- When cancellation takes effect.
Users may cancel a subscription through the available account or payment-management tools, or by contacting admin@oddfoxevents.co.uk.
Unless otherwise stated at purchase, cancelling a subscription normally:
- Stops future renewals.
- Allows access to continue until the end of the paid billing period.
- Does not automatically refund the current billing period.
This does not affect any statutory right to cancel or receive a refund. Where applicable, information about cancellation rights will be supplied before purchase and in the order or subscription confirmation.
17. Prices and payments
Prices will be shown in pounds sterling unless another currency is clearly stated. The total price and any recurring billing arrangement will be shown before the user commits to payment.
Payments may be processed by Stripe or another stated payment provider. Users must provide accurate payment and billing information.
We may suspend paid features where:
- Payment fails.
- A payment is reversed.
- A charge is disputed.
- A subscription expires.
- The payment arrangement is cancelled.
We will not knowingly add an optional paid product to an order without the user's agreement.
18. Refunds
Refund eligibility depends on:
- The product or service purchased.
- Whether the service has begun.
- Whether digital content has been supplied.
- Whether personalised artwork has been created.
- Whether a physical product has entered production.
- The reason for the request.
- Applicable consumer law.
A user should contact us promptly if:
- A payment was taken incorrectly.
- A paid feature is not available.
- A digital product is faulty.
- Artwork contains an error caused by OddFox Events.
- A subscription was renewed after a valid cancellation.
- A purchased service was materially different from its description.
Nothing in these terms limits a statutory right to a repair, replacement, repeat performance, price reduction, cancellation or refund.
19. Trading-card artwork
OddFox Rankings may produce personalised trading-card artwork using:
- Athlete photographs.
- Athlete names.
- Club information.
- Competition statistics.
- Ranking information.
- Other information selected or supplied by the user.
Users are responsible for checking:
- The athlete's name.
- Photograph.
- Club.
- Category.
- Statistics.
- Spelling.
- Other displayed information.
Where an approval preview is provided, the user should review it carefully before approving production. Minor differences may occur between:
- On-screen previews.
- Downloaded files.
- Different screens.
- Digital and printed output.
- Different printers or materials.
We may correct an error caused by OddFox Events. We may charge for replacement work where the error appeared in information supplied or approved by the user, subject to applicable consumer rights.
20. Personalised products
Some trading cards or other products may be personalised for a specific athlete. Once production of a personalised product has begun, cancellation may not always be available unless:
- The item is faulty.
- It is not as described.
- It does not match the approved design due to an error by OddFox Events.
- Applicable consumer law gives the customer another right to cancel.
Any applicable production, approval, delivery and refund terms will be shown at the point of order.
21. Acceptable use
You must use OddFox Rankings lawfully and responsibly. You must not:
- Scrape or systematically extract information without permission.
- Copy substantial parts of the rankings database.
- Use automated tools that place an unreasonable load on the service.
- Reverse engineer or attempt to obtain the source code.
- Probe or test the service for security vulnerabilities without permission.
- Circumvent security, access or payment controls.
- Upload malicious code or files.
- Disrupt or damage the service.
- Harass athletes, children, coaches, officials or clubs.
- Use profile information for unsolicited marketing.
- Collect children's information for an unrelated purpose.
- Use the service for unlawful profiling or discrimination.
- Falsely claim to represent a person, club or organisation.
- Publish private coaching notes without authority.
- Use photographs or results for an unlawful or safeguarding-related purpose.
- Assist another person in breaching these terms.
Reasonable use of public profile links and sharing features is permitted.
22. Intellectual property
OddFox Events owns or licenses the intellectual-property rights in:
- The OddFox Rankings software.
- Website design.
- Database structure.
- Ranking presentation.
- OddFox branding.
- Original graphics.
- Original written materials.
- Features developed for the service.
Competition facts and results may not themselves be owned by OddFox Events, but the selection, arrangement, presentation and database containing those records may be legally protected.
User-owned photographs, logos and written content remain subject to the rights of their respective owners.
You may not reproduce, republish, sell or commercially exploit substantial parts of OddFox Rankings without written permission. You may share individual public profiles, results and ranking pages using the normal sharing features or links provided by the service.
23. Third-party content and services
OddFox Rankings may use or link to third-party services, including:
- Smoothcomp.
- Stripe.
- Email providers.
- Hosting providers.
- Livestreaming platforms.
- Social-media services.
- Club or governing-body websites.
Third-party services may have their own terms, privacy notices and availability arrangements.
OddFox Events is not responsible for the independent operation, content or security of a third-party service, except where applicable law provides otherwise.
A link to a third-party website does not necessarily mean that OddFox Events endorses everything on that website.
24. Service availability
We aim to provide a reliable service but cannot guarantee continuous or error-free access. The service may be unavailable because of:
- Maintenance.
- Security updates.
- Technical faults.
- Hosting-provider outages.
- Internet failures.
- Third-party service failures.
- Data-import delays.
- Events outside our reasonable control.
We may temporarily restrict access where necessary to:
- Protect security.
- Prevent misuse.
- Fix technical problems.
- Carry out maintenance.
- Comply with a legal obligation.
- Address a safeguarding concern.
25. Changes to the service
We may improve, update, replace or remove features. We will take account of the effect on users when making material changes to paid features. We may also change:
- Ranking rules.
- Ranking periods.
- Event classifications.
- Profile layouts.
- Coach tools.
- Subscription features.
- Technical requirements.
Where a material change affects existing paid users, we will provide reasonable information about the change and consider any applicable right to cancel.
Changes to ranking rules will not necessarily be applied retrospectively unless we state otherwise.
26. Suspension and account closure
We may suspend, restrict or close an account where:
- These terms have been seriously or repeatedly breached.
- Access is unauthorised.
- False information has been provided.
- The account creates a security risk.
- The account creates a safeguarding risk.
- The account is used to harass another person.
- Payment is overdue or reversed.
- Information has been obtained or used unlawfully.
- We are legally required to act.
- Continued access may harm another user or the service.
Where appropriate, we will provide:
- An explanation.
- An opportunity to supply relevant information.
- A way to challenge the decision.
We may take immediate action where reasonably necessary to protect a child, another user, an account or the service.
27. Closing your account
Users may request account deletion through the Help & Contact page or by emailing admin@oddfoxevents.co.uk.
Closing an account normally removes or disables:
- Login access.
- Account settings.
- Account-only features.
- Content that exists solely for the operation of that account, where no lawful reason requires retention.
Closing an account may not remove:
- Historical competition results.
- Bracket records.
- Opponents' records.
- Medal records.
- Ranking calculations.
- Transaction and accounting records.
- Complaint or security records.
- Material we have another lawful reason to retain.
- Marketing-suppression information needed to honour an unsubscribe request.
The handling of account deletion and personal information is explained further in our Privacy Policy.
28. User responsibility
You are responsible for:
- Checking information before submitting it.
- Keeping your account secure.
- Using profiles and photographs appropriately.
- Confirming that you have authority to act for another athlete.
- Checking artwork previews before approval.
- Keeping payment information current.
- Following competition-specific rules and terms.
OddFox Rankings should not be used as a substitute for:
- Official competition rules.
- Medical advice.
- Safeguarding advice.
- Governing-body decisions.
- Official event appeal procedures.
29. Our responsibility
We are responsible for providing the service with reasonable care and skill.
We do not guarantee that:
- Every event will be included.
- Every result will be imported immediately.
- All source data will be accurate.
- Every ranking will remain unchanged.
- The service will always be available.
- Every photograph will be tagged.
- A particular athlete will achieve a particular ranking.
- An external organisation will recognise an OddFox ranking.
Where information is wrong, we will take reasonable steps to investigate and correct it where appropriate.
30. Liability
Nothing in these terms excludes or restricts liability for:
- Death or personal injury caused by negligence.
- Fraud or fraudulent misrepresentation.
- Breach of a legal duty that cannot lawfully be excluded.
- Any other liability that cannot legally be excluded or restricted.
Subject to those exceptions and applicable consumer law, OddFox Events is not responsible for:
- Incorrect information supplied by users, event organisers or third parties.
- Independent decisions made by event organisers, clubs, coaches or governing bodies.
- Temporary interruptions outside our reasonable control.
- Loss caused by a user failing to protect their account.
- Loss that was not reasonably foreseeable when the service was supplied.
- Business losses suffered by someone using a consumer service for commercial purposes.
Nothing in these terms affects statutory consumer rights.
31. Privacy
Personal information is handled in accordance with the OddFox Events and OddFox Rankings Privacy Policy.
The Privacy Policy explains:
- What information we collect.
- Where information comes from.
- How and why it is used.
- Public rankings and profiles.
- Photography and manual tagging.
- Data sharing.
- Retention.
- Children's information.
- Individual rights.
- How to complain.
32. Communications
We may contact account holders about:
- Account security.
- Password resets.
- Profile claims.
- Result corrections.
- Subscription payments.
- Orders.
- Service changes.
- Support requests.
- Other operational matters.
Where permitted by law, we may also contact account holders about our own similar OddFox events and related services.
Promotional emails will include an unsubscribe method. Unsubscribing from promotional emails does not prevent necessary service, payment, security or event communications.

33. Complaints
Questions or complaints about OddFox Rankings can be submitted through the Help & Contact page or by emailing admin@oddfoxevents.co.uk.
Please include enough information to identify:
- The relevant account.
- Athlete profile.
- Result.
- Subscription.
- Order.
- Photograph.
- Other issue.
We may ask for further information or evidence of identity or authority. Data-protection complaints will be handled under the complaint process described in our Privacy Policy.
34. Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction, except where applicable consumer law gives the user the right to bring proceedings elsewhere.
35. If part of these terms is invalid
If a court or other competent authority finds that part of these terms is invalid or unenforceable, the remaining terms will continue to apply. The invalid part will be treated as removed or limited only to the extent necessary.
36. Delayed enforcement
If OddFox Events does not immediately enforce a right under these terms, that does not mean the right has been waived. A delay in acting does not prevent us from taking action later.
37. Transferring these terms
OddFox Events may transfer its rights and responsibilities under these terms as part of a genuine transfer, restructuring or sale of the service. We will take reasonable steps to ensure that a transfer does not reduce users' legal rights.
Users may not transfer their account or rights under these terms to another person without permission.
38. Changes to these terms
We may update these terms when:
- The service changes.
- New features are introduced.
- Payment or subscription arrangements change.
- Technology changes.
- Supplier arrangements change.
- Legal or regulatory requirements change.
- Security or safeguarding improvements are required.
The current version and effective date will be published on OddFox Rankings. Where a material change affects existing users, we will take reasonable steps to bring it to their attention.
Continued use after a change takes effect may constitute acceptance of the updated terms where legally appropriate. A material change will not remove a statutory right that arose before the change.
